Trust Specialist II
Job Description
This position reports to the Director of Trust Services of the Midwest Special Needs Trust, a nonprofit agency serving people with disabilities. The Trust Specialist is a professional position working in a team environment to open special needs trusts for individuals with disabilities in Missouri and the contiguous states and continue to administer them. General responsibilities include trust administration of individual trust sub-accounts that include opening, processing deposits and allowable distributions and reviewing new and closing trust sub-accounts. This position will be answering in-coming and making follow up phone calls. Marketing duties are shared by MSNT’s professional staff and include promotional activities designed to market MSNT’s services to target audiences and staffing exhibits at professional meetings and conferences. The Executive Director may require other focused duties including but not limited to quality assurance, improved customer service and the proper execution of fiduciary responsibilities.
Duties and Responsibilities
Consultations
• Backup in consulting with potential clients, their family members or legal representatives including, but not limited to: determining appropriate trust agreement documents and explaining trust agreement documents and trust administration.
• Backup in reviewing pending trust agreement documents to ensure completion and accuracy for opening the trust sub-account.
Openings
• Enter new trust sub-account information into platform
• Save information to trust sub-account electronic file
• Schedule and conduct New Life Beneficiary phone calls for each new sub-account opened and funded on their caseload
• Backup preparing the request for funds for applicable Enrollment Fees
Deposits
• Upload deposit checks using the remote scanner and software to bank
• Backup in processing, entering deposit notifications, saving documentation, and mailing receipts of deposits for trust sub-accounts
Distributions
• Review and prepare for entry into the platform requests for funds from trust sub-accounts
• Prepare and send Distribution Denials as appropriate
• Monitor outstanding check status by following up each week with the appropriate party
• Backup in entering and saving distribution information into platform and trust sub-account electronic file
Provide Trustee Services
Sub-Accounts are divided into caseloads:
• Communicate with life beneficiary, co-trustees, responsible parties, and appropriate agencies to ascertain life beneficiary needs and manage distributions from the sub-account
• Update and maintain accurate trust sub-account records in both platform and electronic file using the prescribed filing format
• Enter data, including Account Activity Notes, into the platform using the data entry standards
• Mail, as requested, trust related items to responsible parties, including but not limited to: public benefit reviews, copies of account statements, trust documents, tax related information and correspondence
• With oversight from the Director of Trust Services, administer a portions of the Sole trustee Program
o Schedule and conduct monthly Sole Trustee Phone Calls
o Complete required documentation for yearly review
• Update and maintain accurate trust sub-account paper records using the prescribed filing format
• Participate in assigned MSNT meetings, trainings and quality improvement activities
• Backup to preparing requested information to appropriate parties for public benefit reviews
Closing
• Assist in preparing closing sub-accounts for final distributions including collecting
required information from the state Medicaid office(s) and remainder beneficiary information
• Assist in reviewing closing information, including review of trust record and distribution history
• Backup in processing of final distributions in accordance with policy and procedures and requirements of the trust agreement documents
Assist the Director of Trust Services
• Trust sub-account reviews
• Data projects
Participate, as assigned, in marketing/promotional activities
• Represent MSNT at conferences, promotional events and presentations
• Set-up and staff exhibit at conferences and other promotional events
Attend, as assigned, conferences & trainings
• Attend and participate in conferences, trainings, webinars or other educational events as requested
• Complete appropriate certification requirements
Other duties as assigned
Experience and Education
• Graduation from an accredited four-year college or university with a degree
• One to three years on the job experience in banking, investments, insurance, trust services, disability/social services or related field required
